The Meetings Industry faces a significant challenge during this phase of economic reactivation: How to hold events where participants feel comfortable while also adhering to all biosecurity protocols? It seems like a complicated question, but the answer is simpler than it appears.
For nearly 13 years, the Valle del Pacífico Events Center has demonstrated its capacity for transformation, adaptation, and service. These qualities have facilitated that the events held in our facilities are not just events but EXPERIENCES THAT MAKE HISTORY.
If you are thinking of organizing an event in the coming months or in 2021, the CEVP has prepared a small guide with key tips to keep in mind:
1.The Pedagogy of Biosecurity
First things first. It is very important to convey a message of biosecurity from within the organizations. How to do it? It’s as simple as reminding people that hands should be washed every 3 hours or that masks are mandatory.
If this pedagogy is spread, even from the invitation stage, it will be much easier to fully comply with the rules. Remember: we take care of each other.
Of course, we will help you. In the CEVP facilities, you will find signage that will help remind you of these recommendations.
2. Choose Between Virtual and Hybrid
The current situation has substantially transformed the Meetings Industry, but it has also opened up new possibilities: virtual and hybrid events. Both have advantages, but it will depend on the goals you want to achieve and the experience you want your participants to have.
One advantage of virtual events is the significant increase in the audience. And what benefits does this bring? It also broadens the visibility of sponsor brands or allows for strategic segmentation of potential buyers. The possibilities are many!
A recommendation: do not try to replicate a physical event in a virtual format because it will lose many advantages. Instead, take full advantage of the possibilities of each format.
3. Outdoor Spaces and Connectivity
If possible, prefer outdoor spaces. These places have always played a relevant role in events, but in the current context, they acquire greater importance. This situation allows organizers to explore new ways of setting up in harmony with nature without neglecting connectivity.
For example: Suppose you are a wedding planner who needs an outdoor space that is covered. In addition to that, you need it to have technological facilities because some family members will not be able to attend the ceremony and will connect via streaming. Our solution: the CEVP Expansion Plaza.
Why? Our venue stands out for its multi-format capacity and technological infrastructure. This allows participants to connect via streaming or up to 3,000 attendees to enjoy simultaneous wifi usage. Not to mention the beautiful views of the mountainous landscapes of Valle del Cauca that these spaces offer.
Need another example? How about a drive-in concert in the CEVP parking lot?
4. Responsible Capacity
A responsible capacity is one that allows participants to maintain social distancing without altering their event experience. How to achieve this balance? The key is in the size of the spaces.
Imagine you chose the Meléndez Hall or the Rosita Jaluf de Castro Hall at the CEVP for a conference in 2021. These two spaces offer the possibility of accommodating up to 1,400 people with a 2-meter distance.
5. Contact the CEVP
We believe we have given you some good reasons to choose the CEVP as your #SafeVenue for the next event you organize. An interdisciplinary team will accompany you from planning to closing so that your participants and sponsors enjoy a valuable experience.
